How AI catches vendor overcharges before you pay them

Most small businesses lose a little money on the back office every single week, and never see it. It hides in the invoices.

If you run a shop, a restaurant, or a trades business, you get a steady stack of vendor invoices. Sixty, ninety a month is normal. Nobody has time to line-check every one, so they get paid. That's where the leaks live.

Three ways money slips out

  • Price creep. A supplier nudges a case price up fifty cents. On its own it's nothing. Across a dozen cases a week, all year, it's real money, and you agreed to none of it.
  • Math and quantity errors. A line that doesn't add up, a quantity that's wrong, a case you didn't receive. Easy to miss on a long invoice, easy to pay.
  • Duplicate bills. The same invoice comes through twice, or a vendor double-sends. Pay both and you're chasing a refund for weeks, if you catch it at all.

What an AI back office actually does

The fix isn't a finance department. It's a system that reads every invoice the moment it arrives, the way they actually show up: a photo from your phone, a forwarded email, a PDF.

It pulls out every line, compares each price to what you paid last time and what you expected, and re-checks the math. When something is off, it tells you before you pay, in plain language: "Your distributor billed this case at $14.99. Your last three orders were $12.49. That's $15 more than expected on this order. Want to query it?"

Same for a bill that looks like a duplicate, or a line total that doesn't match the quantity times the price. You see the catch and the dollars, and you decide. Nothing gets disputed or paid on your behalf without your say-so.

What it's worth

One caught overcharge a month usually covers the cost of the service. The bigger win is quieter: vendors learn you check, and the creep stops. You also walk into your next price negotiation with a list of who's been overcharging you and by how much.

It doesn't replace your accountant. It does the daily checking your accountant never sees, and hands them clean books at the end of the month.
